How to Create an Automation

Automations in ZoriCRM are managed within a specific section of the system.

At the moment, automations are available for:

  • leads;
  • deals.

Managing automations

To manage automations, open the section you need, for example Sales → Leads or Sales → Deals, and click the Automations button with the lightning icon in the upper-right corner.

The automation management window will open.

Create a new automation

Click Add.

The automation setup form will open. In this form, you need to:

  • choose and configure a trigger - the rule that determines when the automation runs;
  • choose and configure the actions that the automation will perform when it runs.

Choose a trigger

A trigger is an event or condition that starts the automation.

In ZoriCRM, you can use triggers related to deals and leads.

For example, for deals:

  • a deal is created;
  • a deal moves to a specific stage;
  • a deal has had no activity for a long time;
  • a deal stays in a specific stage without activity for the selected period;
  • an invoice for the deal is paid;
  • a sent invoice is not paid within the selected period.

Choose the trigger that matches your scenario.

Configure trigger parameters

Different triggers may have different parameters.

For example, for a deal stage change trigger, you need to choose the stage that should start the automation when the deal enters it.

When a deal moves to the “Waiting for decision” stage

For an inactivity trigger, you need to specify the time period.

When a deal has no activity for 3 days

For a trigger based on staying in a stage for a selected period, you need to choose the stage and specify the duration.

When a lead stays in the “New” stage for 1 day

Trigger parameters define the conditions under which ZoriCRM should run the automation.

Choose actions

An action is what ZoriCRM performs automatically after the trigger runs.

ZoriCRM supports two types of actions:

  • create an activity;
  • send a notification.

The Create activity action can automatically create:

  • tasks;
  • calls;
  • meetings;
  • email activities.

Configuring the “Create activity” action

The created activity will be linked to the item that started the automation.

For example, if the automation is configured for deals, the activity will be created in the deal that triggered the rule. You will be able to see it in the deal card, in the activity list.

For the Create activity action, configure:

  • activity type: task, call, meeting, or email;
  • activity name;
  • start time and duration relative to the moment when the automation runs;
  • the responsible user for the activity.

By default, the activity is assigned to the employee responsible for the item that triggered the automation: the deal owner or lead owner. If the deal or lead has no responsible user, the creator of that item will be selected. You can also assign the activity to a specific employee.

For example, you can configure activity creation like this:

Create a task “Prepare a commercial offer” for the deal owner, due in 1 day

Or for leads:

Create an activity “Call the client”, assign it to John Smith, due in 1 hour

Configuring the “Send notification” action

For this action, choose who should receive the notification. You can notify the deal or lead owner, and you can also select specific employees in the company.

ZoriCRM will prepare a standard notification text and send it through the employee’s connected notification channels.

For example, if you selected the trigger “Lead has no activity for 2 days”, the employee will receive a notification with the text “Lead has been inactive for more than 2 days.”

Save the automation

After configuring the trigger and actions, save the automation. The automation will appear in the general automation list.
