For example, ZoriCRM can automatically create a task for a manager when a new deal is created, schedule a call after a lead moves to a specific stage, or remind a team member about a deal that has had no recent activity.
This is useful when your company has clear rules for working with customers, but managers still need to create the same tasks, calls, or reminders manually.
Why Use Automations
Sales teams often have simple repeated workflows:
- contact a customer after a new deal is created;
- assign a task to a responsible employee when a new lead appears;
- remind a manager to check a deal if it has not moved for several days;
- return to a lead if it has stayed in the same stage for too long;
- schedule a call, meeting, or other activity after a deal reaches a specific stage.
These actions can be done manually, but when there are many customers, some tasks are easy to forget. Automations help reduce that risk.
What an Automation Consists Of
An automation in ZoriCRM consists of two main parts:
Trigger → Action
A trigger is an event or condition that starts the automation.
For example:
- a new deal is created;
- a new lead is created;
- a deal moves to a specific stage;
- a lead moves to a specific stage;
- a deal has had no activity for a certain period;
- a lead has stayed in the same stage for a certain period.
An action is what ZoriCRM does automatically after the trigger is activated.
ZoriCRM supports two types of actions:
- create an activity;
- send a notification.
The “Create activity” action can automatically create:
- tasks;
- calls;
- meetings;
- email activities.
For example:
When a new deal is created → create a task “Contact the customer”
or:
When a lead stays in the “New” stage for 1 day → create a call for the responsible manager

Create a Task After a New Deal Is Created
If a manager needs to contact a customer after a deal is created, you can set up an automation:
When a deal is created → create a task “Contact the customer”
This removes the need to create the same task manually every time.
Remind a Manager About a Deal With No Activity
If a deal has had no activity for several days, ZoriCRM can create a reminder:
When a deal has no activity for 3 days → create a task “Check deal status”
This helps prevent deals from getting stuck without follow-up.
Create a Call After a Lead Moves to a Stage
If a manager needs to call a customer after a lead moves to a specific stage, you can create a rule:
When a lead moves to the “Interested” stage → create a call
This makes lead processing more consistent and predictable.
Who Becomes Responsible for the Created Activity
When configuring an action, you can choose who the created activity will be assigned to.
For example:
- the owner of the deal or lead;
- a specific employee in the company.
This allows you to use automations both for personal reminders and for standard sales process rules across the team.
When an Automation Runs
Some automations run immediately after an event. For example, when a deal is created or moved to another stage, ZoriCRM can create the required activity right away.
Other automations are based on inactivity or the amount of time an item has stayed in a stage. These rules are checked by the system periodically, so the action may not be created instantly and can appear with a short delay.
For example, if you configure the rule:
When a deal has no activity for 3 days → create a task
ZoriCRM will check deals periodically and create the task when it detects that the conditions are met.
